At Omara Hypnotherapy, I take your privacy and the security of your personal information seriously. I understand that information shared during therapy can be personal and sensitive, and I am committed to handling it respectfully, confidentially and in accordance with applicable data protection legislation.

This procedure explains how you can raise a concern if you believe your personal information has not been handled appropriately.

How to make a data protection complaint

If you have a concern about how I have collected, used, stored or otherwise handled your personal information, please contact me:

You can also raise your concern in writing if you prefer.

Please provide as much information as possible about your concern, including what you believe has happened and, where relevant, what outcome you would like me to consider.

You do not need to use technical or legal terminology when making a complaint.

What happens when I receive your complaint?

I will:

  • Acknowledge your complaint within 30 days of receiving it.

  • Review the information you have provided and make appropriate enquiries.

  • Consider the relevant information and records carefully and fairly.

  • Keep you informed of progress if the investigation cannot be completed promptly.

  • Provide you with the outcome of my investigation without undue delay.

  • Where appropriate, explain any action I have taken or will take to address the issue.

The 30-day acknowledgement period is not a requirement to resolve the complaint within 30 days. The time needed to investigate will depend on the nature and complexity of the concern.

Confidentiality

Because I provide hypnotherapy and wellbeing support, some of the personal information I hold may be sensitive.

Any investigation will be carried out with appropriate care to protect your confidentiality and personal information. I will only access or disclose information where it is necessary and lawful to investigate and respond to your complaint.

I will keep a secure record of the complaint, the investigation and its outcome in accordance with my data protection and record-keeping obligations.

If you remain dissatisfied

I will always aim to resolve data protection concerns fairly and directly with you.

If, after receiving my response, you remain dissatisfied with how your personal information has been handled, you have the right to raise your concern with the Information Commissioner's Office (ICO).

The ICO recommends giving the organisation concerned an opportunity to resolve the issue first, although you can contact the ICO if you remain unhappy with the outcome.

Keeping your information safe

I recognise the importance of protecting the information you share with me. Any complaint relating to your personal information will be handled sensitively, securely and confidentially, with appropriate measures taken to protect your privacy.

This procedure forms part of my wider approach to data protection and should be read alongside my Privacy Notice and Client Consent & Information Form.
